AI TRAINING · A SMALL MARITIME ORGANISATION

A small team, a wide remit, and a documented AI position the board can stand behind.

A full-day, in-person session: foundations first, then every participant building a configured workspace with a personal context file on a governed team platform

Three connectors live by the end of the day, linking the platform to the organisation's file store, accounting system, and email marketing platform, with the first working skill built from a live task

A data classification framework applied to the organisation's real content, and a board-ready AI Use Policy drafted against the Australian Government's Guidance for AI Adoption and the Privacy Act

A full-day session put a small, owner-led organisation's whole team onto a governed AI platform: every participant left with a configured workspace and a personal context file, three connectors were live by the end of the day, the first working skill was built from a live task, and an AI Use Policy drafted against the Australian Government's Guidance for AI Adoption was refined with the chief executive and delivered board-ready.

AI had already started returning time to the team, and the chief executive chose to put structure around it early, while the use was still young: a documented position the board could adopt, a data rule the team could apply themselves, and a clear answer to which platform holds the organisation's account and why.

A full-day session put the whole team on one governed platform, brought three connectors live, produced a first working skill from a live task, and delivered a board-ready AI Use Policy the same day.

The Organisation

A small, owner-led organisation where a handful of people carry a wide workload, and where client correspondence, financial information, and operational documents move through every working day.

The Situation

AI had already started returning time to the team, and the chief executive chose to put structure around it early, while the use was still young: a documented position the board could adopt, a data rule the team could apply themselves, and a clear answer to which platform holds the organisation's account and why. Governance sized for a small team, put in place by choice rather than in response to a problem.

The Work

The day opened with foundations: how the models work, where the risk sits, and what to watch for, taught plainly before anything was configured. Then the platform went into every participant's hands: a governed team plan, a shared organisational project carrying the organisation's context, and a personal context file for each team member reflecting how each of them works. The team was coached through workspace setup and the shared folder and skills structure, and three connectors went live during the day, linking the platform to the organisation's file store, accounting system, and email marketing platform. The first working skill was built from a live task, the chief executive's quarterly finance report, drawing figures directly from the accounting system through the new connector. The afternoon surfaced and prioritised the highest-value next workflows, led by a document-heavy audit reporting process that absorbs days of writing after each site visit. Alongside the capability building, a complete AI Use Policy, drafted against the Australian Government's Guidance for AI Adoption and the Privacy Act 1988, was walked through and refined with the chief executive using the same data classification applied earlier in the day, then finalised as a board-ready document.

The Outcome

A team of five on one governed platform, each with a configured workspace. Three live connectors and a first working skill on the day. A board-ready AI Use Policy and a data classification framework the team applies to its own content. And the habits that carry it forward: a standing weekly agenda item where the team shares what AI returned that week, and AI governance reporting added to the quarterly board papers. The chief executive already counts the return in hours per day.

The Standard Applied

The policy traces to the instruments behind it: the Australian Government's Guidance for AI Adoption and the Privacy Act 1988. The data rule was applied to the organisation's real content categories, with the team in the room. Capability was built on live tasks and real connectors, and the standard now reports to the board every quarter, so it survives well beyond the training day.
