AI management systems
An AI management system is how your business uses AI day to day, checks it and keeps it current. We deploy the AI tools, set the governance around them, train your team, and run it with you.
What is an AI management system?
An AI management system is how your business uses AI day to day, checks it and keeps it current. It sets out which tools are approved, how information is protected, where answers are checked and who decides. We deploy the tools, set the governance around them, train your team, and run it with you.
An owner, client or board may ask which AI tools your team uses and how information is protected. Your own team needs to know which tools are approved, where to check an answer and who can make a decision.
We establish those arrangements with you and keep them current as tools, responsibilities and staff change. The service brings governance, deployment and training into the operation of your business.
What the setup covers
- Scope and responsibility
- The AI activities in scope, a record of the tools and uses identified, and named responsibilities for approval and review.
- Risk and working rules
- An AI use policy, information-handling rules, risk records and approval steps suited to what is being done.
- Deployment and checks
- The agreed AI tools and workflows, configured with access controls, review points and records of how they are used.
- Team capability
- Role-specific learning, practical guidance and a record of the competence and awareness activities included in the engagement.
Project examples

Governance and team adoption in practice
A small maritime organisation put five team members onto a shared AI platform, connected working tools and developed a board-ready AI use policy. Its published account also records AI governance reporting in quarterly board papers.
An example of governance and adoption work. This account does not establish ISO/IEC 42001 certification.

Client information and AI permissions
An engagement platform connecting client information, controlled AI access and contact segmentation.

AI workshops across ten departments
Three workshop days for 18 participants, using approved platforms and tasks from their day-to-day work.

Establish the starting point
We identify existing AI use and agree the scope, responsibilities and priorities with leadership.
Put the arrangements into practice
The team works with the agreed tools, guidance and review steps. Implementation and learning are matched to the roles involved.
Review the operation
Ongoing support keeps records and guidance current, with a quarterly review of the agreed programme and priorities.
What happens after an AI management system is set up?
A monthly service keeps it in use. We review proposed tools and supplier changes, update the AI inventory, risk records and guidance as the business changes, and support staff as roles and tools change. Each quarter, we review the programme with leadership and record the next improvements.
After setup, a monthly service can keep the AI management system in use. The agreement defines the tools, business areas, response arrangements and work included.
- Review proposed tools and material supplier changes against the agreed approval process.
- Update the AI inventory, risk records and working guidance as the business changes.
- Provide refreshers when roles, tools or responsibilities change, and support staff joining the team.
- Review the programme with leadership each quarter, recording decisions and the next improvements.
For superyachts and marine organisations
Owner and guest information, crew rotation and the relationship between yacht and shore office shape the brief. Familiar safety-management disciplines can help explain responsibility, records and review. The AI engagement has its own scope and sits alongside existing safety responsibilities.
ISO/IEC 42001 provides the reference for establishing and maintaining an organisational AI management system. Certification, where sought, involves a separate assessment by an independent certification body.
Questions about AI management systems
Is an AI management system a software platform?
It covers the responsibilities, policies, processes and records through which an organisation manages AI. Software can support that work; the engagement also includes the people and decisions involved.
How do governance, deployment and training fit together?
Governance sets the rules and accountability. Deployment puts approved tools and workflows into use. Training helps the team apply them. Review connects those activities as the business changes.
Can you work with AI we already use?
Yes. Existing tools, informal use, policies and staff practices form part of the starting assessment. The scope identifies what can be retained and what needs attention.
Do we have to pursue ISO/IEC 42001 certification?
Certification is a separate business decision. If it is an objective, we agree a certification-readiness scope and the evidence required. A certification body makes the certification decision.
Is monthly training required?
Learning is planned around roles, tools and risks. Monthly support is a commercial service arrangement; training sessions are scheduled around the needs identified for your team.
Can this support an organisation outside maritime?
Yes. Scope, controls and learning are developed around the organisation and its use of AI. Maritime experience is a specialism within that work.
