A monthly reporting workflow that starts from a saved skill rather than manual assembly. The AI tools already in production stayed exactly where they were: the new capability sits alongside them, and everything built transfers if the platform ever changes. One person capable first gives the team something to see and follow, a steadier path than a simultaneous rollout.
The organisation
A regulated business in the marine insurance sector, holding its own financial services licence. A small team handles the full lifecycle of its client work inside a secure corporate IT environment, and AI tools were already in production and performing well.
The situation
AI was already part of how the business ran. Around the production tools, capable people had started reaching for public AI tools for the tasks the core platforms were never built to cover, on personal accounts, because those tools helped. The business chose to give that initiative a governed home: a platform with a commercial data agreement behind it, and one executive capable on it first. The corporate IT environment meant any new capability had to run in a browser, and the amendments to the Privacy Act commencing December 2026, which reach every licensed financial services business, gave the timing weight.
The work
Preparation started before the day: the executive's existing AI history was exported and distilled into context files, so the new environment opened already knowing the role and the business. The business took out a governed team plan with a commercial data agreement in place, the step the Privacy Act asks a licensed entity to evidence when an overseas provider handles personal information. The one-day session then built the working environment from the ground up: context files loaded, a data classification rule applied to the categories of information the business handles every day, with the most sensitive material staying inside the existing production systems. A real task followed, the monthly management accounting and insurer reporting workflow that assembles sixteen reports each month, run end to end through the CHART quality method and captured as a reusable skill that runs from a standing start. The session closed with a take-home toolkit and a short explainer video. Two policy documents were scoped to follow: an AI Use Policy, and a privacy policy revision addressing the automated decision-making transparency provisions commencing December 2026.
The standard applied
The data rule was established by doing a real task, with live decisions about what goes in and what stays out, rather than as a theoretical exercise. A person reviews every output before it is used or filed. Each element traces to the instruments behind it: the Privacy Act 1988, the 2024 amendments, and the governance expectations that apply to licensed financial services entities.
