Southern Sky AI is an AI strategy and deployment company for the superyacht and marine industry, operated from New South Wales, Australia. This policy explains what we collect when you use southernsky.ai, why we hold it, who we share it with, and what you can ask us to do about it. It covers the website, the AI Readability Check, the Chart Room Dispatch, report downloads, call bookings and the certificate verification page.
If you would rather just ask, write to [email protected]. A person reads it.
Who we are
Southern Sky AI is a registered business name of Kristina Maree Agustin, ABN 73 107 743 069, operating from New South Wales, Australia. Post: PO Box 4036, Wagstaffe NSW 2257. Contact: [email protected].
For readers in the European Union and the United Kingdom, Southern Sky AI is the controller of the personal data described here. We handle personal information to the standard of the Australian Privacy Principles.
What we collect, and when
Browsing the site. Your browser sends technical information on every visit: IP address, browser and device type, the pages you open, and the time and duration of the visit. This technical information is used to deliver and protect the website. We use Google Analytics to count visits, see which pages are read and learn how people find the site. Its advertising features and Google signals are switched off.
The AI Readability Check. To request a check, you give us your website address, your first name and your email address, and the form also sends your device's timezone. We store the request, add or update your contact record in our CRM, email you to confirm the request, and let Kristina know a check is waiting. The check reads the public pages of the website you name, using automated tools that include AI models. Kristina reviews the findings before your report is sent by email. By requesting the check you also join the Chart Room Dispatch, and the form says so beside the button. To protect the check from misuse, we limit how often one address or connection can submit it.
The Chart Room Dispatch. The Dispatch goes out on Sundays. You can subscribe at southernsky.ai/dispatch with your email address and, if you choose, your first name. You also join it when you request an AI Readability Check, or when you tick the Dispatch box on a report download. Our forms send your device's timezone, which is used for one thing: deciding whether the Dispatch reaches you in your morning or your evening. Every issue carries a one-click unsubscribe, and unsubscribing does not take away anything else you have asked us for.
Report downloads. Our published reports can be downloaded as PDFs. To download one, you give your email address, and we record it with the report you chose and the time of the request. The same form offers a box to receive the Chart Room Dispatch and occasional Southern Sky AI updates. The box starts unticked. If you tick it, we also record the wording you agreed to and when. A download with the box left unticked does not add you to any mailing list. Download links expire after one hour. One older article offers its PDF through a separate sign-up form, which keeps what you enter in it.
Booking a call. When you book a call through the calendar on our contact page, we record your name, your contact details, the time you chose and anything you write in the booking form, and send your confirmation.
Writing to us. If you email us, we keep the correspondence so we can reply and keep a record of the conversation.
Searching the site. The search box sends what you type to Algolia, our search provider, which returns the matching pages. Algolia's search analytics are switched off for these queries, and we do not link a search to you.
Payments. This website does not take payments. Where we invoice a client for an engagement, we keep the invoice and payment records.
Training certificates. If you complete training with us and we issue a certificate, your name, your organisation, the course, and the date are published on a public verification page at southernsky.ai/verify. That is the purpose of a verifiable certificate: anyone given the link can confirm it is real. Looking up a certificate sends only the certificate ID to our database. Tell us before the course if you would prefer your certificate not to be publicly verifiable and we will issue it privately instead.
Why we hold it, and on what basis
For readers in the EU and the UK, our lawful bases are:
- Performing what you asked for. Running the check you requested, sending the report you downloaded, booking the call, delivering the training.
- Legitimate interests. Understanding which pages of our own site are read, keeping records of our engagements, and protecting the site from abuse.
- Consent. Where we rely on your consent, including marketing sent on that basis, you can withdraw it at any time and we will act on it.
- Legal obligation. Tax and financial records we are required to keep.
We do not sell your personal information. We do not sell or rent our mailing list. We do not use what you send us through this site to train an AI model.
Who else touches it
We use a small number of service providers, and they process your information only to do the job we have given them:
- Kinsta hosts the website. Cloudflare provides its domain name service, network and security protection. Both handle technical information such as IP addresses to deliver pages and block abuse.
- Supabase runs the database and the functions behind the AI Readability Check, the Dispatch sign-up and certificate verification.
- Stratify is our AI CRM and marketing platform. It stores your contact record, runs the booking calendar on our contact page, and sends the Dispatch, the Readability Check emails and our replies.
- Google Analytics reports on site usage.
- Algolia runs the site search.
- Automated analysis services, including AI models, read the public website you ask us to check in the AI Readability Check.
- Vimeo and YouTube play the videos embedded on some pages.
Some of these providers store and process information outside Australia, including in the United States and the European Union. Where information about EU or UK readers is transferred out, we rely on the transfer terms in our agreements with those providers.
We will disclose your information if the law requires it, and to establish or defend a legal claim.
Cookies and analytics
Cookies are small files a site stores in your browser.
- Necessary. The site sets no cookies of its own for visitors. Cloudflare sets one short-lived security cookie (named __cf_bm) that helps tell people from automated traffic. It expires after 30 minutes.
- Analytics. Google Analytics sets its own cookies (named _ga) to count visits and show which pages are useful. Advertising features and Google signals are switched off, and we do not use it to identify you. You can block these cookies in your browser settings or with Google's opt-out add-on (tools.google.com/dlpage/gaoptout), and the site works the same without them.
- Embedded videos. Vimeo players load with Do Not Track switched on. YouTube videos load from youtube-nocookie.com, and only after you press play. Either service may set its own cookies once a video plays.
How long we keep it
- AI Readability Check requests, report download records, call bookings, and the contact details attached to them: 24 months from your last contact with us, unless you become a client.
- Client engagement records: 7 years after the engagement ends.
- Invoices and financial records: 7 years, as Australian tax law requires.
- Dispatch subscription: until you unsubscribe, then we keep a record of the unsubscribe so we do not email you again by mistake.
- Training certificates: for as long as the certificate is offered as verifiable, unless you ask us to withdraw it.
What you can ask us to do
Whoever you are and wherever you are, you can ask us to:
- tell you what we hold about you,
- give you a copy of it,
- correct it if it is wrong,
- delete it,
- stop sending you the Dispatch or anything else,
- stop relying on legitimate interests where you object,
- withdraw a consent you gave earlier.
Write to [email protected]. We will answer within 30 days, and usually much sooner. We will not charge you and we will not ask why.
If you are not satisfied with how we have handled it, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au. Readers in the EU may complain to their national data protection authority, and readers in the UK to the Information Commissioner's Office at ico.org.uk.
Security
Information is held in access-controlled systems, and report downloads and report files are served through links that expire. No transmission over the internet is completely secure, and we will not claim otherwise. If a breach occurs that is likely to cause you serious harm, we will notify you and the regulator as the law requires.
Children
The site is for people working in maritime and marine businesses. It is not directed at anyone under 18 and we do not knowingly collect information from children. If you believe we have, write to us and we will delete it.
Changes
We update this policy when what we do changes. The date at the top tells you when it last changed. If a change materially affects how we use information we already hold about you, we will tell the people affected rather than relying on you to notice.
